Education

Must possess a four-year degree. 

 

Profesional Experience

Preferably a minimum of 5 years of experience with bottom-line P&L accountability.

EXPORT DOCUMENTATION SPECIALIST /TRADING ASSISTANT

Position Description

The Export Documentation/Trading Assistant is responsible for providing a wide range of post-sale support to trading activities, at the direction of the Trader.  These duties may include creating and submitting export documentation, applying for and organizing government export certificates, monitoring and managing letters of credit, contract creation and distribution, billing, pipeline and inventory management, logistical (railroad, trucks, drayage, barge) support, and other duties as assigned.

Essential Duties and Responsibilities

  • Assist the Traders with the details of contract management, shipment details and other details of daily business. Create and submit export documentation, applying for and organizing government export certificates, and managing letters of credit.
  • Communicate with facilities, customers, transportation providers, traders, and accounting to ensure pertinent information is effectively relayed
  • Create and distribute contracts to the supplier/customer outlining details of the transaction
  • Daily settlement of inbound and/or outbound loads
  • Enter transaction details into our proprietary software; update as necessary
  • Manage inventory; monitor position and complete monthly reconciliation
  • Receive and process invoices from vendors; work with accounting to process payments
  • Generate and send billing to appropriately account for sales; ensure pertinent backup accompanies invoices
  • Resolve inquiries from suppliers and vendors related to billing and invoices
  • Communicate with facilities, customers, transportation providers, traders, and accounting to ensure pertinent information is effectively relayed across all
  • Provide logistical support to trading group; issue shipping documentation and other information to facilities and transport as needed
  • Generate reports daily/periodically to update the trader on several key items including inventory, logistics, and contracts
  • Perform other administrative tasks as needed to support the trading group or other areas of the organization
Required Education and Experience
  • High School Diploma required; Associates Degree preferred in Accounting or general business
  • 2+ years’ work experience; preferably in an administrative environment with exposure to accounting or inventory management
  • Intermediate proficiency in the Microsoft office suite, particularly Excel
  • Previous experience working with software to track and manage data

  • Ability to understand and adapt to unique company structure to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
  • Ability to work with mathematical concepts; apply concepts such as fractions, percentages, ratios, and proportions to practical situations.
  • Lead and assist in special project requirements and execution as needed

Position Type and Expected Hours of Work

This is a full-time position.  Typical hours of work are Monday through Friday from 8:00am – 4:30pm and may fluctuate with business needs, at the direction of or with managerial approval.
